另外也扯到一些專業問題.
Out of office 是標準專業用法. 沒有必要解釋是 on business trip 或 on the leave. 過度解釋看起來不專業.
其次不要過度表達歉意. 也不需要用超過三句以上來表達. 過度陳述同樣不合專業.
另外"代理人" 沒有人用 deputy 這個字. 事實上根本不需要用到這個字. 只要表達 During my absence please contact so-and-so at xxxx@gmail.com for any work related questions. 就可以了.
美國人在這方面表達非常簡潔直接. 非英語國家的人則傾向於周全的陳述及過度的客氣.
在美國的人打客服電話都有這樣的經驗, 只要是轉接到印度或菲律賓, 對方總是沒有必要的客氣和禮貌. 讓人聽了覺得不自在. 也比不上在美國本土的客服電話來得專業.
日期 format 方面, 我個人覺得怎麼用都可以. 但是要了解三大區分. 一般在亞洲是 年/月/日, 歐洲是 日/月/年, 美加則是 月/日/年. 歐, 美洲之間很容易產生誤會. 比方 4/7/10 是 4 月 7 日, 或 7 月 4 曰 要看發文者是來自哪一國.
為了避勉誤會, 月份用字母, 年份用四位數較專業. 但記得這時候日期一定加 "th", 之後還要加逗點.
如 July 4th, 2010. 一般法律文件都是用這種方式.
最後台灣一般樓層都不加 "th". 這是錯誤而且極不專業的. 比方 12 樓 301 室, 要寫成 Suite 301, 12 th FL.
不能寫成 12F. 那是台式表達法. 拿不上國際檯面的.

British English
In British English the day is usually put before the month. If you wish, you can add the ending of the ordinal number. The preposition of before the month is usually dropped. You can put a comma before the year, but this is not common anymore in British English. It is common, however, if the date is part of a sentence: The conference takes place 10-12 December, 2003.
Example: 5(th) (of) October(,) 2004
American English
In American English the month is usually put before the day. If you wish, you can put the definite article before the day. It is common to write a comma before the year.
Example: October (the) 5(th), 2004
You can also write the date by using numbers only. The most common forms are:
Example: 5/10/04 or 5-10-04
Note, however, that 5/10/04 usually means 5 October 2004 in British English and May 10, 2004 in American English.
